The School is seeking an experienced and enthusiastic Personal Assistant (PA) to join our fast paced Business and Administration Team to support the Principal of the School.

The PA to the Principal plays a key role in representing the School to internal stakeholders as well as the wider community so exceptional written and verbal communication skills, highly developed interpersonal skills and a strong ability to establish priorities and meet deadlines is essential.

The successful applicant will be responsible for supporting the day to day functions of the Principal and providing high level administrative support. This will include calendar coordination, preparation of correspondence and documents, greeting of guests, policy management, and organisation and minute taking for Executive Team meetings and the School Council.

Given the complexity of the Principal’s role and the wide range of responsibilities, the role requires flexibility, confidentiality and a commitment to exceptional outcomes.

This permanent position is 5 days per week, with one week off during the April, June/July and September/October school holidays in addition to four weeks annual leave.

It is anticipated that it will be a full time (0.94 FTE) position, however, the School may be willing to accommodate alternative arrangements for the right candidate. Please note that working from home is not a possibility with this position.

Preferred hours are 8.00am to 4.00pm. There is requirement for occasional evening events and meetings throughout the year. It is intended that the successful candidate will commence on 6 January 2025, or on an alternate date by mutual agreement. Salary information will be shared upon request.

Key Responsibilities

  • Provide general administrative assistance and confidential support to the Principal.
  • Be the first point of contact for staff, families and stakeholders seeking to speak with the Principal, assessing meeting requests to prioritise matters of urgency and redirect matters as appropriate.
  • Manage the Principal’s calendar and schedule meetings.
  • Arrange meetings for the Principal and guests, including travel logistics, room bookings, catering and technology.
  • Prepare draft documents and correspondence on behalf of the Principal, with particular attention to tone and accuracy.
  • Maintain the School’s policy register.
  • Edit policies and procedures as directed by the Principal and/or Executive Team.
  • Preparation and distribution of Council and Executive agendas and papers.
  • Attend Council and Executive meetings and prepare written minutes for meetings.
  • Coordinate and oversee functions and special events hosted by the Principal.


Essential Selection Criteria

  • Minimum 3+ years experience as a Personal Assistant or Executive Assistant.
  • Policy writing and management knowledge and experience.
  • Strong interpersonal and communication skills.
  • Enthusiasm, creativity and initiative.
  • Ability to work as part of a team.
  • Ability to prioritise effectively, trouble shoot and problem solve.
  • Exceptional organisational and time management skills.
  • Flexibility to adapt to changing priorities and work environments.
  • Superior keyboard and data input skills.
  • Advanced skills in MS Office suite of products.
  • Discretion and confidentiality.


Desirable Selection Criteria

  • Currently in a Personal Administration or Executive Assistant position.
  • Formal qualifications related to Business, Administration, Management, Communications or similar.
  • Demonstrated commitment to professional development of executive assistant skills.
  • Previous experience working in a school setting.
  • Working knowledge of Calendly and Diligent Boards.
  • First Aid and CPR training certificates.
